Who we are

Pinnacle Product Institute is based in England and Wales. We are responsible for deciding how personal information collected through this website and our enquiry process is used (the data controller).

Information we collect

When you complete our HubSpot enquiry form, we collect your name, email address, phone number, company, job role, programme interest and enquiry message. We also keep the correspondence needed to respond to your enquiry.

Our website hosting and form providers may process technical information such as your IP address, browser and device information, request times and security logs to deliver and protect their services.

Please share only information relevant to your enquiry. Do not include payment details, identity documents or sensitive personal information in the message field. We do not collect payment details through this website.

How and why we use your information

We use enquiry details to understand your training needs, answer your questions and manage the resulting conversation. We respond by email. Submitting an enquiry does not subscribe you to a newsletter or marketing list, and we do not use enquiry details to send marketing updates.

Our lawful basis for responding to general enquiries is legitimate interests: providing relevant information, managing requested correspondence and operating our institute. Where an enquiry involves steps you ask us to take towards a training agreement with you, the basis is taking steps before entering a contract.

Technical information supports the legitimate interests of keeping the website available and secure. Where information must be kept or disclosed to comply with applicable law, we rely on a legal obligation.

Providing information is voluntary, but without sufficient contact details and a description of your needs we may be unable to respond meaningfully. We do not use enquiry information to make solely automated decisions that have legal or similarly significant effects on you.

Who can access your information

Authorised Pinnacle team members, including our leadership team, can access information needed to handle your enquiry. We use HubSpot to collect and manage enquiries and service providers for website hosting, email delivery and security.

We do not sell your personal information or share enquiry details with other organisations for their marketing. We may disclose information where required by law or where necessary to address a legal claim or protect rights and safety.

HubSpot’s handling of customer data is described in its Data Processing Agreement. Its Privacy Policy explains processing for which HubSpot is independently responsible.

International processing

Our HubSpot form is configured for its EU region. This does not mean that every operation, support activity or service provider is confined to that region. HubSpot and other providers may process information outside the UK.

For restricted transfers, applicable UK data protection requirements must be met, for example through recognised adequacy arrangements or appropriate contractual safeguards. HubSpot’s Data Processing Agreement sets out its transfer protections. Email our leadership team if you would like further information about relevant safeguards.

How long we keep information

We keep enquiry information for as long as it is reasonably needed to answer your enquiry and manage the related conversation. We assess whether further retention is necessary by considering whether discussions remain active, whether you have asked us to follow up, and whether a complaint, legal obligation or claim requires a record.

When those purposes no longer apply, we delete or anonymise the information. If you become a learner or enter a training agreement, additional records and any applicable retention requirements will be explained separately. You can email us to ask about the information we hold and request deletion, subject to applicable exceptions.

Cookies and embedded forms

The HubSpot form loads when you select Make an enquiry. Loading it connects your browser to HubSpot, which may use cookies or similar technologies for form functionality, security and related processing. Opening or submitting the form does not amount to consent to marketing.

We do not currently use separate advertising or analytics services on this website. If we introduce optional tracking that requires consent, we will provide appropriate information and a choice before activating it. Browser settings can also control cookies, although blocking them may affect the form.

Protecting information

We take reasonable technical and organisational steps to protect personal information and limit its use to relevant purposes. No online service can guarantee absolute security. If you believe information submitted to us has been exposed or misused, email our leadership team.

Your rights and complaints

Depending on the circumstances and lawful basis, you may have rights to access your information, correct inaccurate information, request deletion, restrict processing, object to processing based on legitimate interests, and receive or transfer certain information in a portable format. These rights are subject to legal conditions and exceptions.

To make a request or raise a privacy concern, email contact@pinnacleproductinstitute.com. We may need proportionate information to confirm your identity. We will respond within the applicable legal time limit.

You can also complain to the UK Information Commissioner’s Office (ICO), whether or not you contact us first. Visit the ICO’s complaints page.

Changes to this policy

We will update this page if our practices or relevant requirements change and display the revised date. If we intend to use your information for a new purpose, we will provide the required information before doing so.
