Start with the work
An AI tool can change the speed or shape of an activity without resolving who is responsible for the result. Map the decisions behind the work: who frames the customer problem, who checks evidence and who decides whether an output is ready to use? Clarify these responsibilities before reorganising a team around a new capability.
Make handoffs explicit
Consider a team using AI to produce a draft product brief. Someone still needs to check the customer context, question assumptions and explain the priority. Agree what the draft contributes and what review is required. A faster handoff is useful only if the next person receives enough context to act responsibly.
Review the effect
Choose a small workflow to improve and ask the team where ownership remains unclear. Look for less repeated clarification and more useful decisions, alongside any time saved. Adjust responsibilities based on what the team learns rather than assuming the tool itself creates a better operating model.
